With 170 retail stores nationwide and a comprehensive online presence featuring over 40,000 products, Officeworks supports Australians in work, learning, creativity, and connectivity. Their business team also aids small and medium-sized businesses to grow and operate efficiently. Officeworks is proudly owned by Wesfarmers.

Chadstone Support Office - design vision and objectives

Officeworks relocated around 900 team members to their new corporate Support Office adjacent to Chadstone – The Fashion Capital - in Melbourne, Australia.

This move during 2023 marked a significant shift towards a more modern, flexible working environment designed to support a hybrid work model and enhance team collaboration.

The Chadstone Support Office was meticulously crafted with a focus on purpose, engagement, and flexibility for its team members. Officeworks collaborated with Lend Lease and Bates Smart Architects, and gathered insights from team member surveys to design a space spanning four levels with sustainability-focused features promoting inclusivity, wellness and accessibility. The objective was to foster a healthier, more collaborative, and efficient workspace.

Why Calven?

Officeworks sought a technology solution that could enhance the team member experience within this new office environment. They selected Calven for its ability to provide a seamless, integrated workplace experience for team members and management alike. The Calven platform offered a modern way to utilise desks and spaces through team togetherness, with integrations to simplify building access and use of other resources. Importantly, Officeworks anticipated changing needs of team members within the Support Office over time, and a technology platform that could adapt accordingly.

How Officeworks team members are using Calven

‍Managing hybrid work arrangements

Officeworks team members leverage Calven’s intuitive platform to plan their office days in advance, ensuring seamless coordination with their colleagues. Through the Calven app, they can view team schedules and decide the best days to work on-site based on who will be in the office. This feature is particularly valuable in a hybrid work model, where deliberate togetherness and collaboration is sometimes essential.

Desk bookings

‍Calven automatically assigns a desk for team members prior to an office day, reducing effort and friction by dynamically allocating areas for groups to work together. Team members have the option to select an alternate space to work from on a given day, and this flexibility enhances comfort and productivity for individuals.

Meeting room bookings

‍Team members can see real-time status of all meeting rooms and collaborative spaces, and make a booking through the Calven app.

Access and Navigation

‍Calven integrates with Officeworks’ access system and security readers, enabling team members to use the app to access parking, the base building, and internal levels. This functionality streamlines the arrival process, eliminating the need for multiple cards or apps. Employees can quickly and securely enter the building, access their booked desks, and start their day without hassle.

Daily operations and adaptation

‍‍During the workday, Calven continues to enhance the experience for team members. The digital map and universal search can be used to locate colleagues and navigate the building, ensuring that they can efficiently connect with their teams and people on-site. Team members can also access lockers through the Calven app.

Guests and contractors also use the Visitor Management feature within Calven to log visits and ensure that all facilities contractors have completed necessary checks prior to performing works on-site.

Analytics

‍‍‍Calven Analytics provides insights into space utilisation and employee preferences, and Officeworks uses this data to make informed decisions about how to optimise their workspace further. For example, Officeworks transformed a quiet zone into a regular work area after reviewing data and gathering feedback.
